End Community Violence Now (ECVN) is a statewide backbone organization advancing Community Violence Intervention (CVI) strategies across Delaware. ECVN aligns public-private partnerships across government, healthcare, philanthropy, workforce development, and community-based organizations to build safer, healthier communities through data-driven and community-centered approaches.

Position Overview

The Executive Administrative Assistant provides high-level administrative and operational support to the Executive Director. This role ensures the efficient coordination of scheduling, communications, financial tracking, and office management functions while supporting follow-up and implementation across ECVN initiatives.


The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working in a fast-paced nonprofit leadership environment.

Key Responsibilities

Executive Support & Scheduling

  • Manage and maintain the Executive Director’s calendar, including coordinating meetings across government, philanthropy, healthcare, and community partners
  • Schedule board meetings, committee meetings, and external stakeholder convenings
  • Draft and send meeting invitations and confirmations
  • Prepare briefing materials and agendas as needed
  • Track action items and ensure timely follow-up on behalf of the Executive Director

Communications & Follow-Up

  • Draft and send emails on behalf of the Executive Director
  • Track correspondence and ensure responses are completed in a timely manner
  • Follow up with partners, board members, consultants, and funders as directed
  • Assist with coordination of advocacy outreach and coalition communications
  • Maintain organized digital filing systems

Office & Operations Management

  • Check and manage incoming mail
  • Order office supplies and manage basic operational needs
  • Maintain records of contracts, invoices, and organizational documents
  • Support logistics for in-person meetings, events, and retreats

Financial Tracking & Administrative Coordination

  • Support tracking invoices, reimbursements, and vendor payments
  • Assist with financial documentation for QuickBooks, Bill.com, and accounting partners
  • Maintain organized digital folders for receipts and financial records
  • Coordinate with accounting, payroll, and benefits vendors as needed

Qualifications

  • 4+ years of administrative support experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive)
  • Experience with QuickBooks, Bill.com, or similar financial platforms preferred
  • Ability to maintain confidentiality and professionalism
  • Highly proactive and able to anticipate needs

Preferred Attributes

  • Experience supporting senior leadership or executive-level staff
  • Familiarity with public policy, nonprofit advocacy, or community-based organizations
  • Ability to manage multiple priorities with attention to detail
  • Strong follow-through and accountability mindset
